Tuning Your Own AI for Project Management – From Prompt Engineering to AI Agents
Artificial intelligence can be a powerful project assistant, but generic AI often delivers generic results. To create truly effective outputs, project managers need to tailor AI to their specific context, knowledge base, and way of working.
This workshop explores practical techniques for customizing AI without requiring technical expertise or coding skills. Participants will learn how to improve AI performance through contextual prompting, grounding AI on project-specific documentation, and building custom AI agents for recurring project management tasks.
The session begins with the use of pre-prompts and contextual instructions to create AI personas and project-specific assistants. Next, participants will explore how tools such as NotebookLM can ground conversations using project documents, creating a lightweight Retrieval Augmented Generation (RAG) approach on a case-by-case basis. Finally, the workshop demonstrates how Microsoft Copilot Agent Builder can be used to create custom AI agents with their own instructions and behaviour.
This session is the eighth workshop in a 10-part series exploring how AI can support and transform project management.
In this session, you will explore:
- How to use pre-prompts to tailor AI to different project environments and stakeholder groups
- How to create reusable contexts and AI personas for project management tasks
- How to use NotebookLM to ground AI on project documentation and organizational knowledge
- The advantages and limitations of conversation-based RAG approaches
- How to create custom AI agents using Microsoft Copilot Agent Builder
- When to use prompts, grounded AI, or custom agents to solve project management challenges
You will leave with:
- Practical techniques to personalize AI for your projects and organization
- Hands-on experience grounding AI with project documentation
- A framework for selecting the right AI approach for different use cases
- The ability to create AI agents that reflect your project management practices and standards
Through live demonstrations and hands-on exercises, participants will learn how to move beyond generic AI interactions and create context-aware assistants that deliver more reliable, relevant, and consistent outputs. By tailoring AI to their own environment, project managers can improve productivity, reduce repetitive work, and focus more time on stakeholder engagement, decision-making, and delivering project value.
